Onboarding Agent
About the Role
The Onboarding Agent is the first point of contact for new apartment communities joining The Luxury Suite. You'll own the end-to-end process of taking a newly signed property from contract to live — configuring their branded experience, importing their data, training their staff, and ensuring a seamless launch. This role is part project manager, part client success specialist, and part operations expert. You'll work directly with property managers and leasing teams to understand their operations, then translate that into a fully configured platform tailored to their community.
What You'll Do
- Lead the full onboarding process for new properties — from initial kickoff call through go-live and first 30-day check-in
- Collect property information (units, buildings, floor plans, pricing, amenities, staff) and configure it in the platform
- Set up white-label branding for each property — logos, colors, taglines, and property photos
- Import resident and lease data via CSV or manual entry, ensuring data accuracy and completeness
- Create staff user accounts with appropriate role assignments (property manager, leasing agent, maintenance tech)
- Configure operational defaults — late fee rules, amenity hours, quiet hours, emergency contacts, and valet trash schedules
- Enable and test third-party integrations (Stripe payments, email notifications, push notifications)
- Seed initial content — welcome announcements, community rules, emergency procedures, and amenity listings
- Generate and distribute property codes, coordinate app rollout with leasing offices
- Conduct virtual training sessions for property management staff on both the iOS app and web dashboard
- Run QA checks to verify property configuration loads correctly across all platforms before activation
- Document onboarding playbooks, identify bottlenecks, and propose process improvements
Requirements
- 1+ year of experience in project management, client onboarding, customer success, or hospitality operations
- Strong organizational skills — you can manage multiple property onboardings simultaneously without dropping details
- Excellent written and verbal communication — you'll be the face of The Luxury Suite for new clients
- Comfortable working with data — importing CSVs, validating records, catching inconsistencies before they go live
- Familiarity with SaaS platforms, admin dashboards, or property management tools (Yardi, AppFolio, RealPage, etc.) is a plus
- Experience in multifamily housing, hospitality, or real estate operations is strongly preferred
- Self-starter mentality — you take ownership of the onboarding outcome, not just the checklist
- Ability to conduct clear, patient training sessions for non-technical property staff
Nice to Have
- Background in luxury residential or boutique hospitality
- Familiarity with property management software (Yardi, AppFolio, RealPage, etc.)
- Bilingual (English/Spanish) for properties with diverse resident populations
Compensation & Benefits
